Tasmanian Masters Athletics Association (TMA) is a not for profit organisation based in Tasmania that creates opportunities for its members to compete against others in their age/gender bracket.

What personal data we collect and why we collect it

We collect the following information from our members when they sign up and/or renew membership with TMA.

  • Name
  • Home Address
  • Email Address
  • Name of other Athletics clubs you are a member of
  • Date of Birth
  • Contact Phone Number
  • Sex/Gender
  • Emergency Contact Details
  • Emergency Contact Relationship

We use your personal information in the following way.

Your Date of Birth is combined with your gender to identify which age/gender bracket you compete in.

Your Name is used to identify you, in a human capacity, and to document your athletic achievements in our records.

Your Email address is used so that we can send you TMA newsletters and important information as deemed relevant by the TMA Committee.

Your Contact Phone number is stored in case we need to contact you quickly about something.  This can be handy when we need to fact check a result, confirm a uniform order or something similar to that.  In the absence of a phone number we will always try to contact you via your email address.

Your Emergency contact details are held on record in the event you suffer a misadventure which leaves you unable to communicate your wishes.

Your personal data can also be generated from technical processes such as contact forms, comments, cookies, analytics, and third party embeds.

By default the TMA websitew does not collect any personal data about visitors, and only collects the data shown on the User Profile screen from registered users. Where additional functionality is added to the TMA site via plugins other personal data may be collected. Information relevant information to this is listed below under Plugins.

Comments are turned off on the TMA site.

Media

If you are provided an opportunity to upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Contact Forms are used through out the TMA website to capture responses from our members.   With these forms we will always endeavour to ask the least amount of questions necessary to accomplish our task.   Any information that you provide to TMA via these forms (and this includes the Uniform order form) will not be sold to any other party nor will it be used outside the purpose intended.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

The TMA website uses Google Analytics tracking code on its pages so that we can work out which pages are the most popular and how many visitors the site receives.  The information captured by Google Analytics is

The following Google Analytics settings are also turned OFF:

Data retention is set for 2 years.

Who we share your data with

TMA do not share your personal information with any third party organisations.   Where your information is used by other affiliated organisations like Oceania, Australian Masters Athletics etc this will happen via information you have provided directly to these organisations.

How long we retain your data

Information captured during these processes is stored on TMA systems and constitutes their records system and order system.  These systems can reside outside of the website itself.  Records are stored in perpetuity while records that relate to financial transactions are kept long enough to meet Australian Tax laws and the statue of limitations.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

The TMA does not send your data anywhere.   We do not share or swap your data with other vendors or 3rd parties.

Your contact information

The TMA does not have a data protection officer.  Your contact information is itemised above and held securely by TMA for purposes of running its events and reporting outcomes.

How we protect your data

We restrict how your data is accessed.  Only a small number of individuals on the TMA committee have access to your personal information.  These TMA positions are:

  • The Registrar - This position is responsible for managing membership
  • The Treasurer - This position is responsible for collecting money and reconciling the Association's bank account.

What data breach procedures we have in place

Where a data breach occurs the TMA Committee will review all available information at hand and make a decision on the best way to progress.  In the first instance the data leak will be contained and members made aware of what has happened.  The committee will then put in place processes to ensure the breach does not happen again.

What third parties we receive data from

The TMA recieves an updated member list from Tasmanian Athletics for the purpose of validating TMA member's claims in this regard.

What automated decision making and/or profiling we do with user data

The committee may from time to time aggregate its membership base to provide statistics on membership numbers.  These aggregates will always be completed in such a way as to anonymise individuals.  This information is not used for advertising purposes.

This plugin logs some personal information such as email addresses, usernames, database and server information. This is stored to help make the plugin better and assist with troubleshooting problems.

Backup retention is completely up to the website owner. This can vary from less than one minute to indefinitely.
